Welcome to Bhutan Travel Mantra! The terms “we,” “us,” and “our” refer to Bhutan Travel Mantra, a government registered tour operator in Bhutan with registration number 1056299. By booking a trip with us, you agree to the following terms designed to keep things transparent and straightforward for everyone
Pricing & Payment Details
All trip prices are listed in US Dollars (USD). A deposit of 30% of the total tour cost is required to secure your booking. The final balance is due 45 days before your arrival. For bookings made within 45 days of arrival, full payment is required upfront.
Please Note: A single supplement charge applies to solo travelers who wish to have a private room throughout their trip.
Airfare
Our tour prices do not include international or domestic airfare unless explicitly stated in your itinerary’s inclusions. When we assist in arranging flights, we act as a sales agent for the airline. The airline’s own terms and conditions will apply to your ticket, and we cannot be held responsible for changes in airfare, flight schedules, or changes in your itineraries due to the changes in flight schedules by the carrier.
For Travelers Under 18
To ensure everyone’s safety, all travelers under the age of 18 must be accompanied by an adult throughout the trip. The accompanying adult assumes full responsibility for the safety, behavior, and well-being of any minor travelers in their group.
Visas & Travel Documents
It’s your responsibility to ensure you have a valid passport with at least six months’ validity from your date of departure from Bhutan. While we handle your Bhutan visa, you are responsible for securing any other visas required for transit or other destinations. We can’t be held responsible if you’re unable to travel due to missing documentation.
Changes & Cancellations
If You Need to Change Your Plans:
We understand that plans can change. Please notify us in writing of any changes, and we’ll do our best to accommodate them. Additional costs incurred by changes will be your responsibility.
If You Need to Cancel:
We offer a tiered refund policy based on when we receive your written cancellation notice:
- 45+ days before arrival: 100% refund
- 30-44 days before arrival: 80% refund
- 20-29 days before arrival: 50% refund
- 15-19 days before arrival: 30% refund
- Less than 14 days before arrival: No refund
Please note that third-party providers (like luxury hotels or airlines) may have different policies.
Our Commitment & Your Safety
We strive to provide seamless and unforgettable experiences. However, travel in a unique destination like Bhutan can sometimes involve unforeseen circumstances—from weather and political events to local holidays that may affect access to sites. We reserve the right to make reasonable changes to your itinerary for your safety and comfort, and will always inform you as soon as possible.
What’s Not Included
Gratuities for your guide, driver, or trekking crew are not included and are left to your discretion. We also recommend purchasing comprehensive travel insurance from your home country that covers trip cancellation, medical emergencies, and emergency evacuation (highly recommended for treks).
A Note on Liability
By traveling with us, you acknowledge that adventures in Bhutan come with inherent risks associated with travel in remote areas, including transportation, weather, and political conditions. We take every measure to ensure your safety but cannot be held liable for events outside our control.
Sustainable Travel Pledge
As part of our commitment to sustainable tourism, we strive to minimize our environmental impact. Where possible, we will provide digital documentation instead of printed materials. By traveling with us, you support these efforts to protect Bhutan’s pristine nature and environment.
